Terms And Conditions For Tours

This document lists our general terms and conditions for tours. These terms and conditions are applicable for all tours unless otherwise stated on the individual tour signup page.

PAYMENT AND FEES

Our trips are calculated in USD (United States Dollar) if you are using an international card to pay via our online booking system a small conversion fee may be applied. This is due to foreign exchange conversion.

Full payment must be made at least 1 month prior to the start date of the tour unless otherwise authorized. Your payments will be detailed on the tour page. Most tours will start with a deposit that is fully refundable within 7 days. Payments can be made in one of the following ways:

  1. By paying online via our online booking system, OR
  2. By making other arrangements (such as check, paypal, cash app, bitcoin, etc). Email us if you would prefer to make other arrangements.

For close-in bookings your last payment may be done separately to complete your billing.

REFUNDS

After 7 days all payments made are non-refundable. If for some reason you can not go on the tour and you inform us before 60 days of the the trip’s start date, the payments you have already made can be put toward a future trip to any of our tour destinations less any non-refundable items that have been paid for on your behalf and a $250 fee; this future trip must be within 1 calendar year of the one cancelled. The payments you have not yet made will be cancelled. We only allow one cancelled trip per credit, meaning once you cancel a trip and confirm that you would like to attend another trip within a year if you then cancel that newly planned trip you will not get any refunds or credit back to be used for a 3rd trip.

LATE ARRIVAL BY CUSTOMER

Our daily itineraries will start at their respective times. If you arrive late for whatever reason and miss the tour, no money will be refunded but we will try to help you make plans to either catch up with the tour or do other activities that day. This depends on the time available.

INSURANCE

Travel insurance is a vital part of your arrangements. We require that you have travel insurance for all trips. We recommend choosing an option with a “cancel for any reason” clause. Outside of 1 week after booking this will be your only option to seek a refund should you choose to cancel the tour. We can assist in finding good, affordable rates, as soon as you book an email will be sent to you with options or you are free to find your own options.

COVID-19

Traveling Black is not liable for any COVID-19 related incidences. We take every possible precaution to keep our tour members safe but ultimately you will make the decisions about which precautions you decide to take. In the event that you do fall ill during your trip, travel insurance that has a COVID-19 clause in it will be your first line of defense for covering your costs for quarantine and any necessary medicines or treatment.

REFERRALS & OTHER PAYOUTS

Traveling Black often pays referral rebates for recommending our tours. These are generally $50 per person you refer unless otherwise noted on our referral page. We do not pay referral fees to custom tour group leads. We do not pay referral fees to people who were not named in the form while booking the tour.
We also pay a thank you rebate for joining us on trips multiple times (starting in 2022). Referral fees and other payouts are generally paid as a rebate within 4-6 weeks of the tour concluding.

COMPANION BOOKINGS

This is a special booking type meant for couples to save a bit of money, it is not offered on all trips. You will not get your own bed unless there are pullout beds mentioned on the booking page. This is not always an option on our trips, but if it is, you will see the option while filling out the payment form.

VACCINATIONS

U.S. Citizens should refer to the travel advice posted by the U.S. Department of State at travel.state.gov for all the countries you intend to visit. Vaccinations may be required for some or all of the places you are intending to visit. It is your responsibility to ensure that you have arranged all necessary vaccinations for your itinerary.

INDEMNIFICATION

You agree to indemnify us and our affiliates, and any of our suppliers, and any such parties’ officers, directors, employees and agents from and against any claims, causes of action, demands, losses, damages, or other costs, (including reasonable legal and accounting fees) brought by you or third parties as a result of (a) your breach of this Agreement, (b) your violation of any law or rights of any third party, or (c) your use of our website.

PRIVACY POLICY

You consent to our processing and sharing of personal information about you and other members of your party that you have provided to us with tour guides, hotels, other flights and any other necessary entities.

PASSPORT, VISA AND IMMIGRATION

It is your responsibility to fulfill the passport, visa and other immigration requirements applicable to your itinerary. You should confirm these with the relevant embassies and/or consulates. We do not accept any responsibility in the case of you being unable to travel due to not complying with any such requirements.

CANCELLATIONS BY US

While we always endeavor to avoid cancellations and changes, we must reserve the right to do so. However, we promise we will only cancel your confirmed booking where we are forced to do so as a result of circumstances outside our control or because an insufficient number of people have booked your chosen tour.

We will notify you before the tour starts if we have to cancel for lack of numbers. Please note that we do reserve the right to run tours with less than the stated minimum number. If we have to make a significant change or cancel, we will tell you as soon as possible. If we have to cancel, we will pay back the full amount and will not deduct any non-refundable expenses. Compensation will not be payable and no liability assumed by us.

CHANGES

If you would like to shorten or lengthen your trip we will help you to determine the proper flights and hotel accommodations as necessary at no cost. If you lengthen your trip we can help you plan your daily itinerary for a cost, or you can plan it out on your own. Also if you would like to opt out of any of our planned itinerary items during the trip we will assist you in finding other things to do.

PHOTOS

We take extensive photos and videos on our tours. We retain all rights to these files in perpetuity. Tour participants will receive a polished set of photos with which they may share them as they desire. We do not allow photos to be inspected or edited by the participants before use, although if there are any terrible photos of you we will either exclude them or edit you out of them.

ASSUMPTION OF RISK

You understand and accept that your proposed tour may expose you to inherent dangers including but not limited to physical exertion, equipment failure, risk of contracting COVID-19 or any other illness, or the activity itself. You acknowledge that alterations to the schedule itinerary or activity may be made as necessitated by weather, group size, road transport, road closures, illness or other factors. You agree to accept the decisions of the tour leader or representative, and you accept that neither we nor the providers of services can be held responsible for expenses or inconvenience incurred as a consequence. You acknowledge that the enjoyment of your tour or holiday is derived in part from travel beyond the safety risks of life at work or at home, and you accept and assume all the risks involved.

All disputes are subject to local jurisdiction only.

If you disrupt the trip by being disrespectful, fail to pay bills/fees or any other unacceptable behavior you will not be allowed to return on future tours.
